Program Terms & Conditions

On Track Training Australia Program                                                                       

Thank you for choosing On Track Training Australia (“OTTA”) also known as FC Training and Consultancy Pty Ltd as your VicRoads and Mental Health First Aid program provider. OTTA is dedicated to providing you with high-quality program delivery. Please review the following terms and conditions, which are designed to ensure a smooth and positive experience throughout the programs.

Program Participation

By enrolling in our programs, you agree to the following terms and conditions. These guidelines ensure a respectful and productive environment for all participants.

Payment Terms
  • Full payment is required at the time of booking to confirm your place in one of our courses.
  • VicRoads programs includes the VicRoads administration charge of $67 or $34 (for concession holders).
  • Payments can be made via credit card, direct deposit, or other approved methods as specified at the time of booking.
  • Failure to pay the program fee before the program start date may result in the cancellation of your booking.
Refunds Policy

A refund of the VicRoads administration fee will be issued under the below circumstances:

  • OTTA fails to provide the first-stage behaviour change program at the time agreed with the participant and/or
  • Is unable to reach an agreement with the person as to an alternative time at which to provide the program; or
  • OTTA fails to provide the first stage behaviour change program at an alternative time agreed with the person
Cancellation Policy

Cancellations: If you need to cancel your booking, you must provide 5 days notice before the commencement of the first program date. You will be eligible for a transfer to another program, subject to availability, at a cost of $150. Participants are allowed to transfer their booking a maximum of two times. After two transfers, any further changes will be treated as cancellations, and fees may be forfeited.

Late cancellations or missed sessions: Participants who cancel less than 24 hours before the session or who miss a session without prior notice will not be eligible for a refund. You will need to rebook and pay the full fee to participate in another program.

Removal from program: If a participant is removed from the program for violating conduct guidelines (e.g., attending under the influence of alcohol or drugs), they will not be eligible for a refund and may be refused entry into another program.

Program Requirements

Alcohol and other drugs: Attendance while under the influence of alcohol or drugs is strictly prohibited. If the facilitator suspects you are under the influence, you will be asked to leave and reschedule the session. Possession or sale of illicit substances will result in immediate removal from the program and notification to the authorities.

Lateness: Late arrivals may disrupt the session and may not be allowed to enter. To ensure the smooth flow of the program, please arrive at least 15 minutes before the scheduled start time. If you are late, you will need to rebook at your own expense.

Missed sessions: If you miss a session for any reason, you will be required to reschedule, which may delay the completion of your program. Missing the first session of the Behaviour Change Program will result in exclusion from the program, and you will need to rebook into a future session.

Conduct: Participants are expected to conduct themselves respectfully. Disruptive behaviour or attending under the influence of alcohol or drugs will result in removal from the session without a refund.

Refusal to leave: Participants who refuse to leave when asked due to misconduct or intoxication will be excluded from the program and will not be eligible for a refund or transfer to another session.

Certificates of Completion

Certificates of completion will only be issued once all components of a program are completed, and all fees have been paid in full.

Complaints Procedure

OTTA values your feedback and strives to provide the highest quality of service. If you are not fully satisfied with any aspect of the program, please follow the steps below:

1. Request a Complaints Management and Resolution Form from your program facilitator or complete the online feedback form below.
2. OTTA will acknowledge receipt of your complaint within 3 working days and aim to completely resolve the issue within 14 days.
3. If you are not satisfied with the resolution, you may request a further review by OTTA management or an independent external party.
