Privacy and Confidentiality Agreement
On Track Training Australia (“OTTA”) recognises our ethical and legal obligations as an organisation to ensure the confidentiality and privacy of information we collect. OTTA is bound by laws including the Privacy Act 1988, the Victorian Privacy and Data Protection Act 2014 and the Victorian Health Records Act 2001, to protect client and staff information. OTTA is committed to protecting your personal information in compliance with all relevant privacy laws and ensuring confidentiality during your participation.
Collection of information
OTTA collects personal information such as your name, contact details, and program participation data solely for the purpose of delivering OTTA courses and fulfilling reporting obligations to VicRoads.
We use Google Analytics to track your use of our website. This helps us improve our website to make sure it best meets the needs of visitors. Google Analytics uses cookies and similar technologies to collect information about your use of our website to create reports about how the website is performing. Google Analytics can collect information including your internet protocol (IP) address, location, device type, operating system, website you came to us from and pages visited. We may also track how you use the internal search engine on our website. We collect your search keywords, the search results, and the pages you visited immediately after a search.
Use and disclosure
Your personal information will only be used for the administration of the program and compliance with legal and regulatory requirements. OTTA will not share your information with third parties without your explicit consent, except where required by law.
Data security
OTTA ensures that all personal information is securely stored and protected against unauthorised access. Digital records are encrypted, and physical records are securely filed.
Web server logs
Whenever you attempt to access a page on the OTTA website, our web server receives information that it needs to deliver the page to you. This includes information about your computer, including its IP address. This information is temporarily kept in our server logs for the purpose of website maintenance and security.
Online services
We collect information you choose to send to us via forms on website and course bookings. We collect this information for the purpose of being able to respond to your enquiry or request. We treat your information with respect at all times, following all relevant laws. If you choose not to provide us with the information we need to deliver services to you, we may not be able to respond to you. You can call OTTA on (03) 9764 2758 and we will assist you where possible.
Links to third party webpages and services
The OTTA website includes links to pages and services provided by third parties. This includes links to crisis and support services, and organisations that provide information on alcohol and other drugs and other issues. Where you access links to webpages or services that are not at the ontracktraining.au domain, you will be leaving the OTTA website, and going to a webpage controlled by a third party. Information collected on those third party webpages will be managed in accordance with the third party’s own privacy policies.
Information we collect on social media
We use social media including Facebook and Instagram to communicate with the public and with organisations in our sector and beyond. We may collect information posted on social media for the purpose of engaging with and understanding the views of the community. If you prefer not to communicate with us on social media, please contact us in another way.
Confidentiality
All information shared during all OTTA courses, including discussions and personal experiences, is treated as confidential. OTTA will not disclose any personal or sensitive information shared during the program without your express consent, unless:
- Disclosure is required by law.
- There is a risk of harm to yourself or others, in which case OTTA has a duty of care to take appropriate action.
Participant rights
You have the right to access and request correction of any personal information OTTA holds about you. If you believe your privacy has been breached or confidentiality compromised, you may file a complaint, which will be investigated promptly.
